Wijnkasteel BVBA attaches great importance to your privacy. Your data will be used and kept exclusively for the business operations of Wijnkasteel BVBA, such as the handling of orders and, if you have subscribed to the newsletter, the sending of its own offers and promotions. Definitions

Personal data are any data relating to a natural person (the data subject mentioned in the Privacy Act) who is or can be directly or indirectly identified. This can be data such as: a person's name, a photograph, a phone number (even a phone number at work), a code, a bank account number, an e-mail address, a fingerprint, ... .

Data processing is any operation or set of operations on personal data. These operations are extremely varied and include the collection, preservation, use, modification, communication of data.

Purpose

Contact: We need data to contact you in case of an emergency or to help you further with a problem or complaint.
 

Service: To provide access to our website, such as logging into your account. We are sometimes required to use a third party or subcontractor to perform our services. Think of a Payment Service Provider for handling payments or a supplier to deliver packages. These third parties are always carefully selected.

Performance tracking:  To gain insight about the use of our website or products. This way we know which pages could possibly use improvement or which services and products can specifically add value for you.
 

Legal obligations: In quite a few cases, we are required to retain and/or disclose certain personal data to government agencies.

What data is involved?

Personal identification data: Such as name, address and phone number. We need this data, among other things, to be able to address you, contact you (in emergencies), send packages and for the preparation of invoices. So also to comply with legal (tax and accounting) obligations. Wijnkasteel BVBA can also be obliged in the event of legal issues to communicate these data to the authorities in a confidential manner.

 

 

Customer number and invoice number: We assign each customer a unique customer number so that we can identify and help the customer more quickly. We are required to keep the invoice number to comply with legal obligations.

 

Company data: Although this data is not always direct personal data, we ask for the (company) name , business address and VAT number.

 

E-mail address: This is kept to send you important messages about your order, quote or account. But also to keep newsletters up to date, to send you the latest developments or to contact you.

About how long do we keep your data?
  • Based on legal tax retention requirements, we must keep billing, transaction and other financial data for 7 years.

  • Uncompleted orders or cancelled orders are kept for a maximum of 7 days before they are automatically deleted.

  • User accounts are automatically deleted after 7 years of inactivity. Orders will be converted to guest orders.

Personal data of minors

Our alcoholic drinks are not sold to persons under the age of 18. When entering our website your date of birth will be asked, however, it is never stored and our system anonymizes it automatically after the check.

Right of access

The user has a legal right to inspect and possibly correct his personal data. Subject to proof of identity (copy of identity card) you can obtain the written communication of your personal data free of charge by means of a written, dated and signed request to Wijnkasteel BVBA, Kasteelstraat 9, 3770 Genoels-Elderen, info@wijnkasteel.com. If necessary, you can also ask to correct the data that would be incorrect, incomplete or irrelevant.

What about a data breach?

A data breach is a security incident where Personal Data, which the Processor manages on behalf of the Controller, may have been lost or inadvertently accessed by third parties. It involves data that can be linked to these individuals, such as, but not limited to, names, addresses, phone numbers, email addresses, login data, cookies, IP addresses or identifying data from computers or phones.

Wijnkasteel BVBA will notify the GBA (=Data Protection Authority) and the Controller of any security breach or loss of integrity within 24 hours after we become aware of it. The latter will in turn notify you if you are a victim of a data breach.

Third parties

In order to properly execute our agreements, it is sometimes necessary for us to use third parties.

  • For example, we use payment services such as Mollie to make payments easy. 

  • In some cases, we may also be required to store certain personal data and/or to disclose it to government agencies. Think of tax reasons or police requisition.

  • For sending packages we work together with other organizations such as Sendingwines. If we do not communicate your personal data we cannot send a package by name and delivery will be compromised.

Third party websites

This privacy statement does not apply to third-party websites that are linked to this website through links. We cannot guarantee that these third parties will handle your personal data in a reliable or secure manner. We advise you to read the privacy statement of these websites before using them. When you click on a Social Media button (such as Facebook), the operators of this website may collect your personal data.
